What happens on arrival

Bring your order number. We check the item in with you, record its condition, and treatment begins once it has been assessed and accepted. Please do not post or courier items to us.

We contact you when your item is ready. Items are collected in person by you or by someone you have authorised in writing.

How to prepare your items

  • Empty every pocket and remove valuables, keys and electronics
  • Remove detachable accessories you do not want treated, such as fur trims or liners
  • Do not attempt to pre-treat stains with household chemicals
  • Tell us about previous repairs, re-waterproofing or home washing
  • For team kit, bag it by squad or age group and label the bag

What happens at check-in

  1. We confirm the item matches your booking and count the pieces.
  2. We record the condition we can see, including existing marks, damage and previous repairs.
  3. We check pockets and hand back anything left inside.
  4. We review care labels and material information with you.
  5. We confirm the treatment you have booked is the right one.
  6. We explain any risks specific to your item, and you confirm you are happy to proceed.
  7. Once the item is accepted, it goes into the process and the turnaround clock starts.

If we cannot accept an item

We may decline an item that is unsuitable or unsafe to process — for example where contamination, structural failure or material breakdown means treatment would risk damage. We will explain why at check-in, suggest an alternative where there is one, and refund the booking for any item we decline before treatment begins.

Who can collect

Items are released to the person who booked them, or to someone that person has authorised in writing before collection. For clubs and organisations, tell us at drop-off who is authorised to collect, and we will record it against the booking. We ask collectors to quote the order number.

A standard wash can quietly ruin good gear

Technical materials rely on structure — loft, membranes, coatings and finishes. Domestic detergents, heat and agitation strip exactly what makes them work. Specialist care protects performance and extends the life of what you own.

  • Waterproofing

    DWR finishes wear off with use and washing. Reproofing reactivates repellency so water beads instead of soaking in.

  • Insulation

    Down and synthetic fills clump and lose loft when washed badly. Correct drying restores volume and warmth.

  • Breathability

    Oils, sweat and residue clog membranes and fabrics. Fabric-specific cleaning clears them without damage.

  • Odour & hygiene

    Odour lives deep in linings and padding. Sanitising treatment targets it at source, not just the surface.

  • Lifespan

    Looking after good gear means buying less of it. Care is the most sustainable upgrade you can make.

Choose your service, tell us about the item and pay online. Payment reserves your cleaning service — it is a booking, not a purchase of a physical product. You then bring the item to The Gear Spa in person with your order number, we check it in with you and record its condition, and treatment begins once the item has been assessed and accepted.

Standard turnaround is up to 14 days from the date your item is checked in and accepted. The clock starts at acceptance, not when you book.

Please don't. We are not set up to receive items by post or courier and we cannot guarantee that anyone will be available to accept or sign for a delivery, so we cannot be responsible for an item while it is in the postal or courier network. If an item does reach us that way we will not turn it away: we will contact you, keep it safe, and agree with you what happens next. Every item is inspected and checked in with you in person before treatment begins, which is what lets us record its existing condition together and explain any risks specific to it.

Sterilise & Deodorise is a dry sanitising and odour treatment with no liquid washing. Professional Wash & Dry is a controlled fabric-specific wash and dry. Wash & Reproof cleans then restores water repellency with a professional DWR treatment.

General Laundry is charged per kilogram at £4.99/kg. Use the quantity selector to set your own estimate of the weight you are bringing in. We weigh the load with you at check-in: if it weighs more, we tell you the extra amount and only charge it if you agree at that point — you can reduce the load or cancel for a full refund instead. If it weighs less, we refund the difference without you having to ask.

We use specialist, fabric-appropriate processes to give the best achievable result and will advise during assessment if an outcome is uncertain. We treat each item on its individual condition rather than promising a fixed result.
